Work Order Requests

Work Order Flow Chart

 

  1. Site staff identify what needs repair, send requests to the Associate Principal in charge of Facilities for knowledge/approval of the site’s needs.
  2. AP forwards to Chief Custodian for selection of what can be done at the site level.
  3. Chief Custodian submits work orders to M&O through SchoolDude when selected for M&O (This will eliminate multiple work orders with the same request).
  4. M&O Assistant and M&O Director will assign work orders as they arrive based on their priority and direct them to M&O Tradesmen.
  5. M&O Tradesmen will address work orders per their priority and in the same order as they come in.
  6. Status of work orders can be checked via email directed to the M&O Assistant and M&O Director. Schools can run active work order reports through SchoolDude.

How to Prioritize Your Work Order Request

 

Emergency Priority: Work orders that could cause immediate hazard to students, staff or MUHSD property. These emergencies should be called into the Maintencance Office and/or to the M&O Director to get an immediate response. This could be a gas leak or a broken main water line that will require shutting off the entire campus.

High Priority: Work orders that cause disruption to the classroom settings or to the school’s operational function. These could include HVAC related issues, leaky rooms, lighting problems, clogged sewer, etc. These disruptions should be called into the Maintenance Department for prompt attention.

Safety Priority: Work oders that are considered important with potential to escalate to an emergency work order.

Median Priority: Work orders that are considered not serious, however, need to be taken care of. These requests may be a non working hydration station, installation of Promethean boards, additional keys, or a sticky lock even though doors can be locked at the end of the day.

Low Priority: Work orders that are still considered importatnt for the Maintenance Department, however, they don’t require immediate attention because they do not interrupt school settings.

Scheduled Priority: Work orders that involve preventative maintenance, site improvement, or schedule work for when school is in recession.

NOTES:

  • Each site will select the priority for their work orders, however, M&O will make the final decision if the request is deemed as it was selected and will make changes as necessary.
  • Work orders are typically answered based on the indicated priority and in the same order that they were recieved. In addition, the M&O Director and M&O Assistant can and will redirect the order of response for some work orders.
  • Submitting duplicate work orders will not expedite the request. All duplicate work orders will be closed by M&O Administration.
  • When submitting work orders, please enter as much detail as possible about the problem at your site.
  • Do not enter multiple problems and locations on the same work order since it could potentially have more than one tradesmen that will answer to that call.
